How a B2B GIS-software vendor used a live hat bar to drive a 4× lift in booth dwell time at the year's biggest GIS conference.

Safe Software's marketing team came to us six weeks out from the Esri User Conference in San Diego — the biggest annual gathering in the GIS software world. Their goal wasn't merch volume. It was dwell time. They needed engineers and analysts to stay at the booth long enough to start a real conversation about FME, their data integration platform.

The format we proposed: a Live Hat Bar with two hat styles (Richardson 112 trucker, Flexfit dad hat) in four brand colors, with three patch designs guests could choose from — one playful, one technical (a small geo-data emblem), and one with the Safe Software wordmark. Two press stations running side-by-side.

Setup: Sunday before doors. Two-person crew on-site Monday through Thursday. Booth flow designed so the hat-pick happened during the technical conversation, not before it — guests handed off to a Safe engineer while their hat was being pressed.

The numbers Safe shared with us after the show: average booth dwell time went from a baseline of 2.3 minutes to 9.7 minutes. Total customized hats handed out: 612 across four days. Most importantly, the booth-to-meeting conversion rate (visitor → calendar invite for a follow-up demo) went from 4% to 17%.
